Every box office has had this call: “My plans changed, can my friend use my ticket?” Usually that means a staff member digging through an order, manually swapping a name, and hoping nobody shows up confused at the door. Our new Invite-A-Friend feature replaces all of that, and much more, with a single .
Click. Invite. Done.
From My Tickets or an Order Details page, a patron clicks “Invite a Friend,” enters their friend’s name and email, adds an optional personal note, and sends. That’s the entire patron-side workflow.
The invitee gets a branded email with the event details and the personal note included, plus one button to claim the seat and one to decline. They don’t need to create an account. They don’t need the app. They just need the email.
Ownership Never Changes Hands
This is the part worth being direct about: the original buyer keeps the ticket on their account the entire time. Nothing about who owns the order changes. The invitee is simply the person scanned in at the door.
If an accepted invitee can’t make it after all, the fix is a quick manual update from your box office team, the same way it’s always worked, just with fewer confused phone calls getting you there.
What Happens After Someone Clicks Send
Once an invite goes out, the ticket locks. A confirmation screen tells the patron exactly that before they commit, so nobody sends an invite by accident and then wonders where their ticket went.
From there, the ticket carries one of four statuses:
- Active: nothing pending, all actions available.
- Invite Sent: locked. The original owner can’t print or resend while it’s pending.
- Transferred: permanent. The invitee’s name is now the name on file.
- Cancelled: voided, no actions available.
The 24 Hour Safety Net
Invites don’t sit open forever. If a friend hasn’t responded by 24 hours before the event starts, the invite expires automatically and the ticket reactivates on the original owner’s account, scannable and ready to go. No one has to remember to follow up, and no one ends up locked out of their own ticket because a friend never checked their inbox.
Admins Can Still Step In
Admins working in the CRM or Boxoffice app aren’t bound by that same 24 hour cutoff the way patrons are. They can initiate an invite on a patron’s behalf even inside that final day-of window, which matters most when a last-minute swap comes in through a phone call rather than the app.
Your Attendee List Updates Itself
Once an invite is accepted, the invitee’s name and email flow straight into your attendee list, your reports, and your Mailchimp sync automatically. Nobody’s re-typing a name into a spreadsheet after the fact. Whoever’s actually walking through your door is who your records say is walking through your door.
