Software Built For The Way Patrons Want To Buy
NOT EVERYONE AT ONCE

Why Your On-Sale Should Follow How Patrons Actually Buy

September 28, 2026

Brought to you by UpStage’s CEO, Drew McManus

On-sale day usually works like a starting gun. 🏁 One email goes to every name on the list, the ticketing page opens for everyone in the same minute, and a full season of anticipation gets squeezed into a single moment.

Performing arts marketing consultant Ceci Dadisman makes a sharp case against this approach. She points out that the patrons who follow your season most closely are counting down to the on-sale, while most of the list is not. Those other buyers will purchase on a timeline their own history has already set, and a louder launch won’t change it.

Her answer is sequencing. The next step is to sequence who can buy in addition to who hears first.

One List, Several Relationships

When the doors open for everyone at once, the patron who renews every year competes for seats on equal footing with someone who has never bought a ticket. Loyalty earns them nothing on the day it should count most.

Recent buyers sit somewhere in the middle. They’ve shown they’ll come back, and Dadisman notes they tend to buy when it suits them, not when the on-sale opens.

Sequence the Access Along With the Email

Staggering the email helps. Staggering the access does more. Your most invested patrons get the first window, recent buyers get the next, and the public on-sale opens last, each on its own date.

This also takes pressure off everyone else. A tiered on-sale doesn’t try to force the whole list into buying early. It gives the patrons who are ready on day one a real head start and lets everyone else arrive when their own habits say it’s time.

How UpStage Handles It

We built early access around the relationships you already track, then provide even more room to grow, so the tiers run without a list rebuild before every on-sale.

  • Multiple Options Per Rule: A single early access rule can include several ticket packages, membership levels, and user tags. One rule can cover everyone who belongs in that tier.
  • A Window for Each Rule: Give each rule its own on-sale date. Subscribers, members, and recent buyers open in order ahead of the public on-sale.
  • Tiers That Stay Current: Automations applies tags based on purchase history. A patron who just bought joins the recent buyer tier automatically.
  • A Clear Message for Patrons Who Are Waiting: Patrons who don’t qualify yet see an early access title and message you write, shown where the ticket options and seat map would be. Tell them when their window opens, how to join an earlier tier, or both.
  • Staff Access in Every Window: Admins and Box Office Managers can process sales before any window opens, so the box office can help any patron by phone or in person.
  • Email That Follows the Tiers: The same tags that set each tier can trigger Mailchimp automations, so each group gets a message written for it.

What Everyone Gets Out of It

The invested patron gets first choice without racing a crowd.
The recent buyer gets a window that recognizes they came back.

The patron who doesn’t qualify yet gets a clear explanation instead of a dead end.

And your team gets tiers that maintain themselves instead of a list rebuilt by hand before every on-sale. 🎟️

Set your tiers once, give each one a date that matches the relationship, and on-sale day stops being a race.
