The Checkout Audit Every Ticketing CRM Should Pass

A patron has already said yes. They picked the seat, chose the ticket, decided to give. That decision happened before they ever reached your checkout page.

What happens next is where organizations lose them anyway. A long form because three departments each wanted a field. An account requirement because the platform was configured that way in 2022. A subscription still called “Flex 6” at checkout, priced and named for a reason that makes sense to admins and insiders, but is undiscernible to everyone else. A donation flow that asks for information the gift itself doesn’t require.

Marketing consultant Ceci Dadisman recently made this point in her Substack newsletter “Make it easy to say yes.” The patron does not see the internal rationale behind any of it. They only experience the total effort. Every extra step between interest and action asks the patron to accommodate your process instead of the other way around. Dadisman sums it up by saying:

“The customer does not see the internal rationale. They only experience the effort.”

Run the Experience Audit

Dadisman suggests bringing together marketing, box office, and development. Then walk your own purchase and donation paths as a first time patron would. Six questions do the real work:

  1. What does this patron need to know: to act with confidence, without a phone call or a support ticket?
  2. What information do we truly need: before this specific purchase or gift can be completed?
  3. What can we collect after: the patron has already said yes, once they understand the benefit?
  4. Where are we asking the patron: to solve a problem that belongs to us, not them?
  5. How many clicks does it take: to complete a general admission purchase, a reserved seating purchase, and a donation, measured on your live checkout, not the one from your last product demo?
  6. How long does it take: start to finish, for a first time patron to complete each of those three paths?

Questions three, five, and six are the ones most organizations miss, because they require sitting down and actually clicking through, stopwatch in hand or planning out the separate strategy. They are also the ones that turn a vague sense of friction into a number your board and your box office manager can agree on.

Design From the Outside In

A ballet ticket purchase and a multi-week festival registration are not the same transaction, and they should not require the same number of fields. A patron buying a single ticket needs a seat, a payment method, and a confirmation. A patron registering for a multi day benefit program might reasonably need more, but only what that specific benefit requires at that specific moment.

Account creation still has real value. It links future orders to a single record and makes the patron portal genuinely useful. The same logic applies to registration fields: some products warrant them, most do not, and the choice belongs at the product level, not as a blanket rule applied to every checkout.

Simplification Is Not a Shortcut

Removing an unnecessary step is not the same as removing rigor. It requires deciding what actually matters, getting departments aligned on which fields belong where, and being honest about which requirements exist for the organization’s convenience rather than the patron’s. Run the audit, count the clicks, time the checkout, and you will know exactly where your Ticketing CRM is asking patrons to do work that should never have been theirs to do.
