Donations are supposed to be simple: someone gives, you say thank you, everyone moves on with their day. Then a card gets charged twice, a donor changes their mind, or someone fat-fingers an extra zero, and suddenly “simple” needs an undo button.
Now it has one.
Admins can cancel and refund donation products directly from Order Details, no support ticket, no manual Stripe lookup, no digging through three different screens to make it right.
How It Works
From the Manage Donations tab, admins now have a “Cancel and Refund Donation” button right on the donation product card. Click it, and a confirmation dialog walks through what’s about to happen: the refund will process, but the system will not automatically email the donor. If a tax receipt letter has already gone out, that’s on the admin to check and follow up on manually.
Confirm, and the system takes it from there. If the original payment was made by credit card, the refund initiates through Stripe automatically.
For one-time donations, cancelling doesn’t delete the order. It marks the donation as cancelled, keeps the original amount visible for record-keeping, and zeroes it out in any reports, similar to how cancelled tickets already behave.
What This Means For Recurring Donations
Cancelling and refunding only touches the specific transaction selected. It will not cancel future donations in that recurring series, and it will not affect any of the donor’s past donations. One transaction in, one transaction handled. If you need to manage the recurring settings, that’s available in the dedicated Recurring Transactions dashboard.
Tax Receipts Update Automatically
This is the part that used to require a manual cleanup pass. Once a donation is cancelled:
- The transaction is automatically excluded from future runs of the US Tax Letter Wizard.
- Any existing Canadian tax receipt tied to that donation is deleted without impacting the sequential Tax ID numbers.
No spreadsheets, no manual removal, no year-end surprise when a cancelled donation shows up on a tax document anyway.
Where To Find It
The new “Cancel and Refund Donation” button lives in the Manage Donations tab of Order Details, available in both the CRM and Boxoffice apps. On the Details tab, the Received Date field defaults to the order date unless an admin has entered a different value.
Donation status now shows as either Active or Cancelled, so it’s clear at a glance where things stand.
