Why Segmentation Should Get Easier, Not Harder, Over Time

Ask a box office manager to pull a list of patrons who bought twice last season and haven’t purchased since. Watch what happens. Not confusion about why that list matters, everyone understands the value of reaching a second time buyer before they become a lost one. Confusion about how to actually build it inside a Ticketing CRM that was never designed to make it easy to discover.

Marketing consultant Ceci Dadisman made this case well: lapsed buyers are often the most valuable, cheapest to reach names on a list, but most organizations don’t have an active strategy for finding them.

She’s right about the strategy gap. What she’s describing underneath it is a segmentation gap.

Most Ticketing CRMs treat segmentation as a one time setup. Someone defines “active” and “lapsed” once, using whatever date range made sense when the system launched, and the organization lives with that definition indefinitely. Anything more specific, a second time buyer who hasn’t returned, a donor who lapsed on a different timeline than a ticket buyer, a patron who meets two conditions at once, means stacking filter logic manually or finding whoever in the building can write a query.

A Good Ticketing CRM Gets Easier to Segment With, Not Harder

The industry default treats advanced segmentation as an advanced user problem, something only larger, better resourced organizations get to attempt. That framing is backwards. An arts admin should be able to describe the segment they want in plain language and get it, not learn a query language or spend an afternoon panning for data gold in a spreadsheet export.

Here’s the bar a Ticketing CRM should clear: a surface level segment (active versus lapsed) should take no more effort in an admin’s third month than their first. A layered segment, patrons who’ve crossed two or three conditions at once, should be reachable without a technical background. And the segmentation itself should be able to grow in sophistication as an admin’s skill and available time grow, without forcing a jump to a different tool or workflow to get there.
